How Staff Can Join a Business

Guide for staff members to join a business and start collaborating.

For New Users

1. Get a Staff Invitation Code

To join a business, you need an invitation code from the business owner. The owner will:

  • Send you an SMS with the invitation code
  • Or provide the code directly to you

Important: The invitation code is unique and can only be used once.

2. Download and Install Kelola

  1. Download the Kelola app:
  2. Install the app on your device
  3. Open the app

3. Create Your Account

Kelola uses Google Sign-In for account creation:

  1. Tap “Continue with Google”
  2. Select your Google account
  3. Allow Kelola to access basic account information
  4. Your account is now created

Note: You must use a Google account to sign up. Email/password registration is not available.

4. Join the Business

After signing in:

  1. You’ll see the option “Join Business” on the welcome screen
  2. Tap “Join Business”
  3. Enter the invitation code provided by the business owner
    • The code is case-sensitive
    • Enter it exactly as provided
  4. Tap “Submit” or “Join”

5. Start Working

Once you successfully join:

  • You’ll be taken to the business dashboard
  • You can start using the app based on your permissions
  • Your activities will be tracked under your account

What you can do depends on the permissions set by the owner:

  • Record sales (Stock Out)
  • Record purchases (Stock In)
  • View products
  • Manage customers
  • And more (based on your access level)

For Existing Users

If you already have a Kelola account and want to join an additional business:

Method 1: From the Home Screen

  1. Open Kelola app
  2. Make sure you’re logged in
  3. Look for “Join Business” option on the home screen
  4. Enter the invitation code
  5. Tap “Join”

Method 2: Switch Between Businesses

If you’re already part of one business and want to switch:

  1. Go to More (bottom navigation)
  2. Tap “Switch Business”
  3. You’ll see a list of businesses you’re part of
  4. Select the business you want to work with

Note: You can be a member of multiple businesses with the same Kelola account.


Troubleshooting

”Invalid Code” Error

Possible causes:

  • Code entered incorrectly (check for typos)
  • Code has expired
  • Code was already used
  • Wrong case (codes are case-sensitive)

Solutions:

  • Double-check the code with the business owner
  • Ask the owner to send a new invitation
  • Make sure you’re entering all characters correctly

”Code Already Used” Error

This means:

  • The code has already been redeemed
  • Ask the business owner to send a fresh invitation

Can’t Find “Join Business” Option

Try:

  • Logging out and logging back in
  • Closing and reopening the app
  • Checking if you’re already logged into a business

Joined Wrong Business

If you accidentally joined the wrong business:

  1. Contact that business owner to remove you
  2. Ask the correct business owner for a new invitation
  3. Join the correct business

After Joining

What to Expect

  • You’ll see the business name at the top of the app
  • Your permissions are set by the business owner
  • You can only perform actions you’re authorized to do
  • Your activity is recorded and visible to the owner

FAQ

Q: Can I join multiple businesses? A: Yes! You can be a staff member in multiple businesses using the same Kelola account.

Q: Do I need to pay to join a business? A: No, staff access is included in the business owner’s subscription.

Q: What if I forget which business I’m in? A: The business name is displayed at the top of the Home screen.

Q: Can I leave a business? A: Yes, but you’ll need to ask the business owner to remove you from their staff list.

Q: What happens to my data if I leave? A: Your transaction history remains with the business for record-keeping purposes.

Q: Can I use Kelola without joining a business? A: No, you need to either create your own business or join an existing one to use Kelola.
