Edit or Delete Records

Kelola.co provides features to edit or delete transaction records when data entry errors occur. This helps maintain accurate inventory and financial records.

Who Can Edit or Delete

Owner accounts only - Only the business owner can edit or delete transaction records. Staff members cannot modify historical transactions.

How to Edit a Transaction

  1. Open the Kelola.co app
  2. Tap “History” from the bottom navigation
  3. Find and tap the transaction you want to modify
  4. Tap “Edit” (pencil icon)
  5. Modify the necessary fields:
    • Product quantities
    • Prices
    • Customer/Supplier
    • Notes
  6. Review the changes
  7. Tap “Save” to confirm

Important: Editing a transaction automatically updates stock levels and all related reports.

How to Delete a Transaction

  1. Open the Kelola.co app
  2. Tap “History” from the bottom navigation
  3. Find the transaction you want to delete
  4. Tap the three dots menu (⋮)
  5. Select “Delete”
  6. Confirm the deletion

Warning: Deleted transactions cannot be recovered. Stock levels will be automatically adjusted to reverse the transaction’s effect.

When to Edit vs Delete

Edit when:

  • Minor corrections needed (wrong quantity, price, or notes)
  • Customer/Supplier information needs updating
  • Date needs adjustment

Delete when:

  • The transaction was completely erroneous
  • Duplicate entry
  • Test transaction that shouldn’t be in records

Best Practices

Act quickly - Edit/delete as soon as you notice the error ✅ Add notes - Document why the change was made ✅ Review before saving - Double-check all changes ✅ Inform your team - Let relevant staff know about significant corrections

Limitations

  • Only the Owner account can edit/delete transactions
  • Some transactions may be locked after a certain period
  • Bulk editing is not available - edit one transaction at a time
  • Deleted transactions cannot be restored
