What is Stock Transfer?
The Stock Transfer feature allows you to move inventory between businesses within your Kelola account. This is perfect for businesses that operate multiple locations, such as:
- Multi-branch retail stores – Transfer stock from headquarters to branch outlets
- Warehouse operations – Move products from central warehouse to retail locations
- Franchise businesses – Distribute inventory across franchise partners
- Consolidation needs – Combine stock from closing branches to active ones
How Stock Transfer Works
When you transfer stock between businesses, Kelola handles everything automatically:
Automatic Product Creation
If the product doesn’t exist in the destination business, Kelola will automatically create it with all the original product details copied over.
Smart SKU Mapping
If the product already exists in the destination business, Kelola automatically matches them using the SKU code and updates the stock quantity accordingly.
Synchronized Records
Both businesses will have complete transfer records, making it easy to track inventory movement across your entire operation.
How to Transfer Stock
Follow these simple steps to transfer stock between your businesses:
Step 1: Access Stock Transfer
- Log in to your Kelola.co account
- From the main dashboard, tap “Stock Transfer”
- The Stock Transfer option is located alongside Stock In, Stock Out, and Audit features
Step 2: Select Destination Business
- Choose the destination business from your list of businesses
- This is the business that will receive the transferred stock
Step 3: Select Products to Transfer
- Tap “Select Product” to choose which items to transfer
- Enter the quantity for each product you want to transfer
- You can transfer multiple products in a single transfer
Step 4: Complete the Transfer
- Review the transfer details
- Add any notes if needed (optional)
- Tap “Save” to complete the transfer
Step 5: Automatic Updates
Once saved:
- Stock is deducted from the source business
- Stock is added to the destination business
- Transfer record is saved in both businesses’ history
Important Notes
Before Transferring
- Ensure both businesses are active in your account
- Verify you have sufficient stock in the source business
- Make sure products have unique SKUs for accurate mapping
SKU Best Practices
For seamless automatic product mapping, we recommend:
- Using consistent SKU codes across all your businesses
- Avoiding duplicate SKUs within the same business
- Keeping SKU formats simple and standardized
Transfer Limitations
- You can only transfer between businesses within the same Kelola account
- Transferred products maintain their original details (name, SKU, unit, etc.)
- Stock values are calculated based on each business’s own cost settings
Managing Transfer History
All transfers are recorded and can be viewed in:
- Transfer History – Complete list of all transfers
- Stock Reports – Includes transfer activities in calculations
- Product Details – Shows transfer history per product
To view transfer history:
- Go to History from the main menu
- Select Transfer filter to see only transfer records
- Tap any record to view complete transfer details
